Job description:
This is a newly created position with a strong focus on office administration, employee support, and internal operations coordination. The role sits at the center of the organization, working closely with Operations, Finance, People Team, and the CEO.
The company is looking for someone proactive, organized, and detail-oriented who enjoys creating structure, improving processes, and ensuring a smooth employee experience.
Main Responsibilities
- Daily office administration and coordination to ensure smooth office operations
- Managing office-related logistics, supplies, parking, and facilities
- Coordinating fire safety and office compliance requirements
- Managing company insurance matters and asset insurance
- Organizing internal events, team buildings, and employee initiatives
- Coordinating employee vacation administration
- Supporting HR administration processes:
- employment documentation
- leave administration
- employee requests
- communication with accounting
- onboarding/offboarding support
- Assisting with compliance related to Lithuanian Labour Code requirements
- Creating accounts and managing internal system access permissions
- Improving and structuring internal administrative processes
- Supporting overall employee experience and office environment quality
Requirements:
Must-Have
- Previous experience in office administration, operations, HR administration, or a similar coordination role
- Strong organizational skills and excellent attention to detail
- Ability to independently manage tasks and priorities
- Strong communication and interpersonal skills
- Proactive, solution-oriented mindset
- Ability to improve and structure processes
- Tech-savvy with good computer literacy and confidence using digital tools/platforms
- High sense of ownership and responsibility
- Ability to maintain a well-organized and welcoming office environment
- Good English communication skills
Nice-to-Have
- Understanding of Lithuanian Labour Code
- Negotiation and vendor management skills
- Experience coordinating procurement or office purchases
- Ability to identify cost-efficient solutions and improve operational processes
