Job description:

We are seeking a highly organized and proactive Office Administrator to support our team and ensure the smooth operation of our offices in Vilnius and Tallinn. This role is ideal for someone who thrives in a fast-paced environment and enjoys taking on a variety of tasks.

While this is initially a part-time position, the time allocation can be flexible depending on the candidate and business needs.

Key Responsibilities:

  • Meet and Greet: Welcome and assist guests, clients with a friendly and professional demeanor
  • Landlord Relations: Maintain an official relationship with our landlord, ensuring that any office-related issues are promptly addressed
  • Event Coordination: Organize internal events and assist in organizing external events and offsite gatherings
  • Office Maintenance: Oversee the cleanliness, functionality, and organization of our office space, ensuring a comfortable and productive work environment
  • Inventory Management: Manage the company’s inventory, including office supplies and equipment
  • Travel Support: Assist team members with travel planning and make necessary bookings, including flights, accommodation, and related logistics

Requirements:

  • Fluent in English is a must
  • Previous experience in office administration or a related role is a plus
  • Strong organizational and multitasking skills
  • Excellent interpersonal and communication skills
  • Proficiency in basic office software (e.g., Microsoft Office)
  • A reliable team player who contributes to shared goals
  • A positive attitude and willingness to learn and take on diverse tasks

Working hours:

  • This is a part-time position with the possibility to increase up to full-time over time.
